Executive Assistant to the Chief Executive Officer (CEO)

JOB DUTIES

Your responsibilities as an Executive Assistant will include:

  • Administrative Support to CEO: Coordinate and optimize the day-to-day operations of the CEO’s office (calendar, appointments, meetings, projects, deadlines and deliverables, tasks, travel, accommodations, reservations, registrations, hospitality). Assist with the coordination and execution of CEO-sponsored initiatives and events (internal /external). Assist in preparing and monitoring the Executive Office annual budget, procurement of goods and professional services, membership management, reconciliation and processing of invoices, expenses, and other departmental transactions and processes, and tracking expenditures. Establish and maintain Executive Office organizational/ business processes and recommend improvements, liaising with internal departments (e.g. Facilities, Finance, IT, etc.) as required.
  • Stakeholder Support / Relationship Management: Facilitate responsive and collaborative communications and interactions and build/maintain effective relations between the CEO and internal / external stakeholders (e.g. Board of Directors, direct reports, employees, customers, Mayor’s office and Shareholder representatives, industry representatives, etc.). Provide information. Prioritize and coordinate resolution of requests or issues.
  • Data, Information and Content Coordination and Management: Ensure efficient and timely flow of information to/from the CEO. Consult internally, conduct research, analyze, and prepare, proofread, format, and/or edit correspondence, memoranda, business documents (i.e. staff reports, plans, filings, proposals, recommendations, meeting presentations, etc.). Liaise with Public Relations & Corporate Communications when appropriate. Summarize data in spreadsheets or other related solutions.
  • Document and Records Management: Prepare confidential meeting minutes. Maintain corporate records (digital and hard copy).
  • Board and Executive Support: Provide administrative assistance to the Board of Directors and Executive Committee members as required, including scheduling Board, Board Committee, and Executive meetings, preparing and publishing agendas, agenda packages, and minutes, preparing reports and correspondence
  • Safety: Adhere to all Occupational Health & Safety Act rules and regulations, the IHSA EUSR rulebook and London Hydro work practices. Report all injuries and near misses immediately. Perform all activities in a manner that protects the health and safety of yourself and others. Wear all personal protective equipment as required. Understand and comply with London Hydro Health and Safety policies.
  • Perform other duties related to the above job purpose.

ESSENTIAL QUALIFICATIONS

  • Post secondary education (minimum 3-year Community College diploma) in Office or Business Administration or a similar / equivalent program.
  • Several years of related experience. Previous experience as a C-Suite Executive Assistant and/or experience in the electrical distribution industry is considered an asset. 
  • Excellent written and oral communication and interpersonal skills.
  • Written materials demonstrate thorough knowledge of professional writing and spelling and grammar conventions.
  • Proficiency in MS Office applications (Word, Excel, PowerPoint) and G Suite.  Previous experience with Meeting Management software considered an asset.
  • Position necessitates a high degree of tact, diplomacy, discretion, confidentiality and integrity.
  • Excellent judgment, time management, organizational and records management skills, with a commitment to accuracy.
  • Ability and initiative to work independently and to be proactive.
  • Valid Class G Driver’s License.
